The Sales Associate user role

When setting up storage facility internal Logins under Setup > Users & Roles, you can assign the Sales Associate Role to users. Sales Associates will have limited access to the software and will not be able able to see all the features available to Managers.

Sales Associates only have access to the following tabs and subtabs

Make a Payment

Automatic Permissions

The following permissions will apply to all users with the Sales Associate role:

  • Renting or Reserving a Unit
  • Print out a tenant's billing history(Sales Associates cannot edit the billing history)
  • Adding Notes to a Customer Profile
  • Taking a Payment
  • Setting up or Editing Recurring Billing Information
  • Editing the Move in Date
  • Removing a Lock Out
  • Editing the Customer Profile
  • Approving and Completing Reservations
  • Changing or Adding Gate Access
  • Upload tenant photos
  • Perform Move-outs
  • Edit Payment Methods
  • Add Recurring Billing
  • Support Tab
  • Collections Report
  • Move-in/Move-out Report
  • Waiting List
  • Lock Outs Report
  • Declined Credit Cards
  • Sending bulk emails/templates to customers
  • Can select different manager only pricing plans

Optional permissions

Sales Associates can be given permission to issues Refunds and/or Voids. To grant these permissions, click Users & Roles from the Setup menu. users and roles.png

Click Sales Associate Settings.

Billing History Permissions

You can check Allow Sales Associates to issue refunds and/or Allow Sales Associates to void line items to grant void or refund permissions.

Reports Permissions

Select which reports Sales Associates should be able to view:

  • Tenant Credit
  • Reservations
  • Next Bill Due
  • Rental Transfers
  • Undelivered Notifications
  • Customer Notes

Click Save when you are done. These permissions will apply to all users with the Sales Associate user role. 

Restrictions

Sales Associates will not have access to the following:

  • Editing/Deleting Customer Notes
  • Editing/Voiding Billing History items unless they have been given access as shown above
  • Adding a Credit Without Payment to an account. 
  • Editing the Payment Structure of a Customer (Applying Discounts, Changing Monthly Price, Next Invoice Date)
  • Making Changes to the Website
  • Viewing or Pulling Reports they haven't been given access to
  • Viewing or Pulling the Cloud Access Control Gate Activity Log
  • Changing any overall billing settings
  • Can not make prepayments for multiple months
  • Unit Types and Unit List View
