Digital Storage Agreements

Digital Storage Agreements are signed when a customer rents online from your website, or they can be emailed or text messaged from the software and signed at a later time if the tenant rents in person.

The Storage Agreement can be uploaded in your software by a member of our team by emailing the agreement to support@storageunitsoftware.com, or you can upload it yourself under Setup > Settings > Storage Agreement and use placeholders to personalize the template agreement for each customer. 
Once an agreement has been signed, it will save one agreement for each unit connected to the customer's profile as a PDF. Once saved, it cannot be modified. In the event that you need to have a customer sign a new agreement, the current agreement must be deleted, and a new agreement signed in it's place.  
 

Can I use paper agreements and not digital agreements?

If you decide not to use the digital agreement, you can upload a copy of your signed paper agreement so that it is saved and accessible from the customer profile. This can be done from the customer profile > In the Rental section, click the link to that says "Storage Agreement: View" > Use the gray "Upload" Button to choose the storage agreement file from your computer and save it to the customer's account. 

Uploading the agreement will remove the customer's name from the Unsigned Storage Agreements Report. You can also check the box that says Agreement Signed Externally to remove the customer from the Unsigned Customer Agreement Report. You will not have access to their agreement from our software if you choose this option.
 

What If I have different agreements for different unit types?

You can upload more than one agreement in our software. If you have different terms and conditions for a specific unit type (like parking storage versus enclosed storage) you can create different agreements and change which version of the contract the customer signs based on the Unit Type Settings. 

You can upload the other agreement under Setup > Settings > Storage Agreement > New Storage Agreement or follow the step in "How do I add my online rental agreement to my software?" Below.
Once multiple agreements have been installed, you can change the default agreement attached to the unit under Units > Unit Types > "Edit" (orange link on the right column) and change the drop down box titled "Agreement". 
 

How will customers sign a rental contract when renting a unit?

If the customer rents online, they will be required to sign the agreement as part of the rental process. When a manager or sales associate rents the unit through the management side of the software, they will need to text or email the contract to the customer to collect a signature, or have them sign a paper copy at the office. I've transferred my customer from one unit to another, do I need to have them sign a new agreement?

Yes. When customers move from one unit to another, information contained within that contract will change, such as the price, the size of the space, or the unit number. Any signed agreement on file should match the unit that the customer is occupying, and be an accurate representation of their account, in case you need to use this lease agreement to protect yourself in legal situations. 

How do I see who has signed the agreement and who hasn't?

You can see which customers have not signed their digital contract by going to Reports > Customers > Unsigned Customer Agreements.

 

I made changes to my storage agreement under Setup > Settings and now I want my existing customers to sign the new agreement, how do I do that?

You will need to archive the customers' existing agreement which will cause the software to automatically generate a new agreement to be signed. You can archive the agreement clicking on it from the customer's profile and clicking Archive

 

How do I find a past customer's rental agreement?

On the customer's profile, in the Rentals Section, there will be a Past Rentals link where you can see information about past rentals. On this past rentals page, copies of SIGNED rental agreements will be saved and accessible by clicking on the link of the document you would like to view or print.
